Why Print Colours Never Match Your Screen
Everyone who converts a colour for print eventually asks this question. There are five separate causes, they compound, and only some of them are within your control.
Start with the short version: your screen makes colour by emitting light, and paper makes colour by absorbing it. Those are different physical processes with different limits, and no conversion can make one behave like the other. Everything below is detail on top of that.
1. One glows, the other does not #
A monitor is a light source. Each pixel emits red, green and blue light directly at your eye, and it can do this in a dark room. Paper emits nothing. It reflects whatever light happens to be falling on it, minus what the ink absorbs.
This is why the same printed piece looks different under office fluorescents, by a window, and in a restaurant at night, while the screen version looks the same in all three. It also means the maximum brightness of a printed white is whatever the room provides, and the darkest black is however little light the ink reflects. A screen can be far brighter than either.
2. Gamut: some colours simply do not exist in ink #
Gamut means the range of colours a system can reproduce. Your screen has one. A four-colour press has another, smaller one, and they overlap without matching.
The colours that fall outside the print gamut are consistently the ones people care most about: vivid blues, electric greens, bright oranges, anything neon. When you convert one of these, the software picks the nearest colour it can actually reach. That is why the result looks flat — not because the conversion failed, but because it succeeded at an impossible request.
Check your most saturated colours early, not at the proofing stage. If a brand colour is out of gamut, that is a design decision to make at the start — adjust it, or specify a spot ink — not a problem to discover the week before the job runs.
3. Profiles: the same numbers mean different things #
A set of CMYK numbers is an instruction to lay down ink percentages. What colour that produces depends entirely on which inks, which press and which paper. A profile is a measured description of exactly that combination, and it is what lets software translate meaningfully between a screen colour and a press colour.
Without a profile, software falls back on generic arithmetic — the formulas shown on the converter pages here. Those are useful for describing and communicating a colour. They are not a substitute for a profile when the press is known.
4. Paper changes everything #
The same file on gloss coated stock and on uncoated stock will not look the same, and the difference is not subtle. Coated paper has a sealed surface that holds ink on top, keeping it dense and sharp. Uncoated paper absorbs ink into the fibres, spreading it slightly and scattering the reflected light.
The practical result is that uncoated printing looks softer, lighter and less saturated. Recycled and off-white stocks add their own tint underneath everything. None of this is visible on a screen, where there is no paper at all.
5. Dot gain: tints print darker than you specified #
Ink spreads when it meets paper. A halftone dot specified at 40% lands slightly larger than 40%, so mid-tones print darker than the file says. There is an optical component too: light scatters within the paper around each dot, making it appear larger still.
Press profiles compensate for this, which is another reason the profile matters. But it explains a common experience — a design that looked balanced on screen comes back heavy and closed-up in the midtones.
What you can actually do #
- Calibrate your monitor. It will not close the gap, but it makes everything else you do meaningful.
- Soft-proof with the right profile. Ask the printer which one, and preview with it before you finalise anything.
- Identify out-of-gamut colours early, while there is still time to change the design rather than just accept the loss.
- Ask what paper the job is running on and adjust expectations accordingly. Uncoated needs more contrast in the file to look right on the sheet.
- Get a physical proof from the press that will run the job, and approve colour from that. Never from your monitor.
Questions #
Can I fix this by calibrating my monitor?
Calibration helps a great deal and is worth doing, but it does not close the gap. It makes your screen an honest reference, which means you can trust what you are seeing and soft-proof meaningfully. It cannot make ink capable of reaching colours ink cannot reach.
Why did the same file print differently at two printers?
Different presses, different inks, different paper, possibly different profiles and different calibration states. A file is a set of instructions, not a colour. Two printers following the same instructions on different equipment will land in slightly different places.
What is soft proofing?
Asking your design software to simulate on screen what a specific press and paper combination will produce. It is not perfect, but it will show you which colours are about to lose their intensity, which is usually the information you actually need.
Is a printed proof really necessary?
For anything with a meaningful print run or a brand colour, yes. A proof from the press that will run the job is the only thing that shows you the real answer. For a small digital run of internal documents, it is often overkill.
My blues keep printing purple. Why?
This is the most common complaint in print, and it is a gamut problem. Vivid screen blues sit outside the CMYK range, and the nearest printable colour often leans purple because it is built from heavy cyan and magenta. Pulling some magenta out of the build usually helps more than adjusting anything else.
